How to make sure listeners receive your Email

The following tips are designed to help your listeners make sure that your station's Email Address is approved by their ISP.  You may want to make these tips available on your website or by your phone operators in case a listener calls about not receiving your Email Blasts and Newsletters.

Choose your ISP:  AOL    Yahoo    Hotmail    Mail.com    Netzero    Optimum Online    BestWeb     Juno  Comcast  BellSouth  Verizon.net

For AOL Subscribers (www.aol.com):

After signing onto your AOL account, click the mailbox icon (which will take you to your inbox), click the Address Book, select Add Contact and type in the radio station’s email address information in the Contact section.

*The latest version of AOL (9.0) has some new behaviors that directly impact email marketing. The most important of these is that images in emails are now blocked (not displayed) unless the sender’s from email address is already in the recipient’s address book. Also, a different icon is used in the list of new messages for senders who are in the address book. The user has the option on each email to display the images from that email.  There is a link located at the top of the email message.

For Comcast Subscribers (www.comcast.net):

If you are unable to send or receive emails, it could be one of the following:

Cause #1: One or more of the headers for the e-mails currently residing on the server may be corrupted. The corrupted header will not harm your computer but will prevent your e-mail client from retrieving that e-mail. This is commonly referred to as a "stuck" message. A stuck message also may prevent subsequent e-mails from being delivered.

Solution: The easiest solution is to move all waiting messages from your inbox to another folder using Webmail, and then move them back to the inbox one by one, downloading as you go. The message that fails to download is likely the corrupt one, and should be deleted or moved elsewhere if you wish to keep it. For detailed instructions on moving messages from one folder to another using Webmail, please click here. If you find that every message fails to download, then it's more likely that #2 is the problem.

Cause #2: You have a virus scanner or firewall blocking your e-mail program from making a successful connection. Some features of McAfee Virus Scanner and Norton Anti-Virus can cause this problem.

Solution: You will likely need to turn off both incoming and outgoing e-mail scanning, and turn off the McAfee Wormstopper feature. A firewall can sometimes be the problem as well, so make sure your firewall is set to allow your e-mail client to make connections on ports 587 and 110 (or 465 and 995 if you use SSL - which is not the default set-up for most e-mail programs).

Turning on or turning off email scanning in Norton AntiVirus 2002/2003/2004

Please note that many virus scanners and firewalls automatically update which can result in changes that you may not be aware of so even if your e-mail program previously worked without any problems, do not rule out the above solution.

For Yahoo Subscribers (www.yahoo.com):

Once you are logged into your Yahoo account, click the Addresses tab (located at the top of the screen). Select the Add Contact button (also located at the top) to bring up a new screen. Enter in the station’s information as necessary (primarily their email address) and select Save (located on the lower left). This will save the station’s email address in Yahoo’s database thus allowing you to receive their emails.

*Yahoo is releasing a version of their service that includes a new feature called “message views”. This feature ensures delivery to the main inbox for any sender already in the recipient’s address book. All other email ends up in an unknown senders folder.

For MSN Hotmail Subscribers (www.hotmail.com):

Click the Options tab (located at the upper-right corner of the screen) which will take you to the Personal Options screen. Select the Mail icon on the left side of the screen to enter the Mail Options section. Next, click Junk E-mail Protection and select Safe List. Add the station’s email address, click the Add button then OK. This will add the station to Hotmail’s database which will allow the emails to go through.

*Hotmail recently released an upgraded version of their service that will includes whitelist functionality. The main page that Hotmail users will see is called the “Today” page. This page will display only email messages that are on the recipient’s contacts and safe list. All other messages will only display on a separate page for unknown senders.

For Mail.com Subscribers (www.mail.com):

Sign into your account, click the Options tab, go to the Junk Mail and E-mail Filters section and follow the instructions under the Incoming Mail filters section. You will then be able to add a station’s email address to enable your emails to go through to your INBOX.

For Netzero Subscribers (www.netzero.net):

Netzero subscribers can use one of two methods to ensure receipt of emails from certain addresses:

A. Once you are signed into your account, click the Options button within the E-mail section. At the Mail Options screen, click the Safe Lists button link. This will display any addresses you currently have on your list. All messages from addresses on this list will not be sent to your Junk Mail folder. Go to the box under Add Address to Safe List and add in your station’s email address. Click the Add button to add the address to the list located on the right. When completed, click the Save button.

B. Once you are signed into your account, click the Options link and select Junk Mail Filter. The Junk Mail folder screen will reveal your current filter settings. If you see any messages from the radio station in your Junk Mail folder, simply select the message and click Remove from Junk. This will transfer the message to your Inbox. It would probably then be necessary to adjust your filter settings.

*Netzero now has individual blacklist and whitelist features. The whitelist requires that senders be added to the Contacts section in the recipient’s Address Book, or else have messages placed in the Junk Mail folder.

For Optimum Online Subscribers (www.optonline.net):

After successfully logging into your webmail account, click the Options tab (located at the top of the page) which will bring you to your Account Summary screen. From there, select the Anti-Spam Settings button located on the left-side of the screen. At the next screen, choose Click here to modify your anti-spam settings. This will take you to the next screen where you will have to again log-in. The next step is select the modify SpamAway button. It will then ask if you really would like to change the current option for your account. If yes, then click the Disable Anti-Spam button.

For Juno Free, Platinum and Juno MegaMail Subscribers (www.juno.com):

In order to make sure that certain messages from safe senders get to your Inbox, Platinum and Juno MegaMail members can define Safe Lists

*Juno now has individual blacklist and whitelist features. The whitelist requires that senders be added to the Contacts section in the recipient’s Address Book, or else have messages placed in the Junk Mail folder.

For BestWeb Subscribers (www.bestweb.net):

Log into the Message Center with your BestWeb e-mail address (i.e. username@bestweb.net) and password.  Click on the Junk Email link.  By default, the Off button will be red when you enter the Message Center for the first time. Click on the grey On button so that it turns green. You have just turned on your spam filter. You can turn this filter off at any time by clicking the Off button.  Click on the Filter Categories link. Click the boxes of the categories that you wish to have filtered and then click on the Save Changes button. By default, all categories are selected when you enter the Message Center for the first time.

Go back to the Junk Email section.  Click on the Filter Sensitivity link. Choose the degree to which you would like your e-mail to be filtered and click on the Save Changes button. A lenient sensitivity will allow more spam to get through, however, an aggressive sensitivity is more likely to capture e-mail which may not be spam. By default the filter sensitivity is set to Aggressive when you enter the Message Center for the first time.  Go back to the Junk Email section.

Click on the Blocked Senders link. Add any e-mail addresses or domains that you want the filter block. The filter will capture any e-mail that comes from these addresses/domains. Make certain that after you enter an e-mail address or domain, that you click on the Save to List button to add that address or domain to your list of blocked senders. If you decide that you wish to remove an address or domain from your list, you can select that address/domain in your list and click the Delete from List button to remove it.  Go back to the Junk Email section.

Click on the Approved Senders link. Add any e-mail addresses or domains that you will always want to receive e-mail from. The filter will not capture any e-mail that comes from these addresses/domains. Make certain that after you enter an e-mail address or domain, that you click on the Save to List button to add that address or domain to your list of approved senders. If you decide that you wish to remove an address or domain from your list, you can select that address/domain in your list and click the Delete from List button to remove it.

Any e-mail that is identified as spam will be held in your Message Center for a period of approximately 14 days before being deleted. During this 14 day period, you will be able to read these e-mails in your Message Center by clicking on the subject link. Use the Deliver or Delete buttons to either forward them to your e-mail account or delete them from your Message Center. If you click on the Deliver button, you will be asked if you want to add this sender to your approved senders list. If you do, check the box next to the senders e-mail address and click on the Continue button and it will automatically add the sender as it delivers the message.

Your spam filter should now be working properly.

For BellSouth Subscribers (www.bellsouth.net):

Once done, click Manage Spam on the Options menu in Web E-mail.  Next, set MailGuard to On or Review.  Finally, click Save Settings.  If you have chosen to set your option to Review, the emails in your Spam folder will remain there for 7 days before they are deleted.  If you have selected the On option, any message tagged as spam will automatically be deleted.

For Verizon DSL/FIOS  Subscribers (http://dslstart.verizon.net/):

First, log into your Verizon account with the username and password supplied by the ISP.  Next, under Account Settings, select 'E-mail Options.'  From there, go to 'Options.'   Here, you will find several tabs including Rules, Block Senders and Mail Filters.  Under the Block Senders section, you have the option of adding domains and or email addresses of domains you do not wish to receive email from.  Ensure that those you do wish to receive email from are not listed in this section.  Further down, there is a 'Safe List' section where you can enter the email address or sub-domain of those who you would always like to receive email from.

If you click the 'whitelist request' link, it will redirect you to a form to fill out to have a domain added to Verizon's whitelist.
